This Privacy Policy explains how Xania Media ("we", "us") collects and processes personal data when you use Xania Shield (the "Service") at xaniashield.com and its application at app.xaniashield.com. We are committed to privacy by design and to full compliance with the EU General Data Protection Regulation (GDPR).

2. Our privacy-first principle
Xania Shield is built to protect forms from spam without sending your visitors' data to third-party advertising or analytics companies. Our infrastructure is hosted in the European Union (Belgium). We do not use tracking cookies and we do not sell personal data.
3. Data we collect
Account data. When you register, we store your name, email address, hashed password, and billing details necessary to operate your account and subscription.
Download leads. When you request a free download, we store your email address, the product requested, your consent and the time and IP address at which it was given, so we can send you the download link and, where you have agreed, occasional product updates.
Spam-analysis data. When the Service analyzes a form submission on your behalf, it processes technical signals such as IP address, user agent, and submitted content to produce a spam score. This processing is performed on our EU infrastructure using local statistical methods — not external AI services. Sensitive values such as IP addresses and email addresses are stored in hashed form in analysis logs.
4. Why we process it (legal bases)
We rely on: contract (to provide the Service you sign up for), legitimate interest (to detect and block spam and abuse, and to secure the Service), consent (for sending download links and optional product emails), and legal obligation (for accounting and tax records).
5. How long we keep it
Account data is kept for the life of your account and for the period required by Belgian law afterwards. Analysis logs are retained for a limited operational period and then deleted or anonymized. Download-lead records are kept until you ask us to remove them or you withdraw consent.
6. Sharing and processors
We share data only with service providers strictly necessary to run the Service — for example our EU hosting provider and our payment processor for billing. We do not share data with advertising networks. Where a processor is used, it is bound by a data-processing agreement.
7. Your rights
Under the GDPR you have the right to access, rectify, erase, restrict, and port your personal data, and to object to processing based on legitimate interest. You may withdraw consent at any time. To exercise any right, contact xaniadesk@yahoo.com. You also have the right to lodge a complaint with the Belgian Data Protection Authority (Autorité de protection des données).
8. Cookies
We use only essential cookies needed to operate the site and keep you signed in, plus a local preference for light/dark theme. We do not use tracking or advertising cookies. See our Cookie Policy for details.
